Job Descriptions

Executive Board Officers (Voted positions)

President: 
  • Provides leadership to the PTA and oversees the work of the executive board to ensure the association operates effectively and in alignment with its mission.
  • Presides at all board and association meetings. Serves as the official representative and primary communicator of the PTA. Appoints committee chairs and members as needed (unless otherwise specified in bylaws). Acts as an authorized signer on PTA checks, contracts, and payment authorizations.
Executive Vice President (EVP): 
  • Serves in the absence of the President and supports overall coordination of board activities to ensure continuity of leadership.
  • Alternates with the President in attending monthly PTA Council meetings and reports key updates back to the board. Presides over meetings when the President is unavailable. Assists with agenda preparation, tracks action items, supports officer transitions, and helps coordinate committee efforts across the board.
Secretary:
  • Records and maintains accurate minutes of all board and association meetings, focusing on actions taken. 
  • Maintains permanent and legal records of the PTA, including current bylaws and standing rules. 
  • Co-signs formal documents as required.
Treasurer: 
  • Serves as custodian of all PTA funds and maintains full and accurate financial records in accordance with PTA policies and California law.
  • Makes authorized disbursements as approved by the association or executive board and ensures dual-signature requirements are followed. Presents financial reports at each board and association meeting and prepares the annual financial report.
  • Chairs the budget committee and assists in developing the annual budget. Ensures all required tax filings, insurance documentation, and government reports are completed accurately and on time.
Financial Secretary: 
  • Receives, records, and deposits all funds collected by the PTA. Issues receipts for financial transactions and provides deposit documentation to the Treasurer.
  • Prepares regular reports of monies received and ensures proper separation of financial duties in accordance with PTA policies.
Financial Reviewer: 
  • Conducts a financial review at least annually and whenever a check signer changes. Reviews financial records, bank statements, and supporting documentation to verify accuracy and compliance with PTA policies.
  • Prepares a written financial review report and presents findings to the board and association for adoption.
Parliamentarian: (Appointed not elected)
  • Advises the President and board on parliamentary procedure to ensure meetings are conducted effectively and in accordance with bylaws.
  • Chairs the bylaws committee and proposes revisions as needed. 
  • Assists with election procedures and supports the nominating committee process.
1st VP - Membership
  • Leads the annual membership campaign and year-round recruitment efforts. 
  • Collects and processes membership dues and maintains an accurate membership roster for board use.
2nd VP - Student Services and Grants
  • Identifies grant opportunities and supports programs that enhance student achievement, enrichment, and wellness. 
  • Coordinates student-focused initiatives and ensures grant funds are used according to their intended purpose in collaboration with the Treasurer.
3rd VP - Communication/Newsletter
  • Develops and oversees the PTA communications strategy, including newsletters, website updates, and social media. 
  • Ensures all publications are reviewed and approved by the President and Principal prior to distribution.
4th VP - Hospitality
  • Leads efforts to create a welcoming and inclusive atmosphere at PTA meetings and events. 
  • Coordinates hospitality needs, including refreshments and event setup, and supports staff and volunteer appreciation efforts. 
  • Manages the hospitality budget and maintains supply inventory.​

Committee Chairs
​(The following are not voted positions)

Webmaster
  • Manages the PTA’s Google Workspace environment, including user accounts, shared drives, and access permissions. 
  • Maintains file governance standards and ensures secure, organized digital collaboration. 
  • Supports smooth officer transitions through proper account management and access control.
Graduation committee chair 
  • Coordinates PTA-supported graduation activities in partnership with school administration. 
  • Oversees logistics, volunteers, and communication related to graduation support efforts.
Senior Scholarships
  • Supports the school in administering the PTA senior scholarship program, including application coordination and communication. 
  • Ensures the process remains fair, transparent, and aligned with PTA guidelines.
FUHS foundation liaison
  • Serves as the communication bridge between the PTA and the FUHS Foundation. 
  • Shares updates, collaborates on joint initiatives, and promotes alignment between organizations to support school priorities.
Hospitality committee chair
  • Supports the 4th VP – Hospitality by organizing volunteers for events, coordinating supplies, and assisting with meeting and event hospitality needs throughout the year.
Financial review committee chair/members
  • Coordinates the required financial reviews (mid-year and end-of-year). 
  • Recruits committee members to examine financial records and ensures findings are documented and presented for board and association approval. Financial background is not required.
Principal Coffee Coordinator
  • Organizes and coordinates Principal Coffee events (4 times per year), including scheduling, logistics, volunteer support, and promotion. 
  • Helps facilitate meaningful dialogue between school leadership and families.
Career Day coordinator
  • Serves as the PTA liaison to support the school’s Career Day event. 
  • Assists with recruiting presenters as needed and coordinates PTA-sponsored elements such as refreshments and appreciation gifts.
Volunteer Coordinator
  • Works with board members and chairs to identify volunteer needs and develop recruitment strategies.
  •  Oversees volunteer sign-ups, communication, and assignments for PTA activities. Maintains an organized database of volunteer contacts and interests.
Senior All Night Party Committee
  • Chair: 
    Leads planning and execution of the Senior All Night Party to ensure a safe and memorable event for seniors. Develops the event plan and budget in coordination with the SNAP Treasurer and executive board. Serves as liaison between PTA, school administration, vendors, and volunteers.
  • Treasurer: 
    Works with the PTA Treasurer to track SNAP income and expenses. Maintains detailed records of ticket sales, donations, contracts, and payments. Ensures all financial activity complies with PTA policies and reporting requirements.
  • Secretary: 
    Maintains meeting records, planning documents, vendor agreements, and required waivers. Supports organization and communication within the SNAP committee.
Student Rep Mentor: 
  • Guides student representatives in leadership development and ensures student-led initiatives align with PTA purposes and financial and legal guidelines.
Reflections Chair: 
  • Promotes the National PTA Reflections arts program to students and families. 
  • Recruits impartial judges, ensures entries meet guidelines, and manages submission timelines.
  • Advances qualifying entries to the appropriate PTA level.
Community Education: 
  • Identifies relevant education topics and resources to share with families. 
  • Organizes programs or workshops that support parent engagement and understanding of public education issues. 
  • Encourages participation in initiatives that improve student outcomes.
Fundraising Chair
  • Leads PTA fundraising efforts in alignment with the approved budget. 
  • Coordinates campaigns, sponsorships, and events, and reports progress to the board. 
  • Ensures fundraising activities comply with PTA policies.
Family & Community Engagement Chair
  • Leads initiatives that foster connection and participation within the school community. 
  • Plans family-oriented events and supports inclusive engagement efforts aligned with PTA goals.
